Topic > ADVANTAGES OF A COMPUTER ARCHIVING SYSTEM - 843

What is an archiving system? The archiving system is a process of classifying, arranging, storing, controlling and indexing files for the purpose of retrieving them when necessary. The filing system is used to keep documents organized and used for easy retrieval. Nowadays, many filing systems have been computerized. Computerized filing system is beneficial as it has many advantages for the organization. However, it also has disadvantages, but I still consider it advantageous. First, the computerized filing system has the advantage of speed over a manual filing system. It is because it can access the files easily and provide the necessary files immediately. Compared with manual filing system, employees need to check files and go to pages one by one, and it takes time to retrieve them. By using the computerized filing system, employees can save time because they only need to open the system and type the file name, then the computer will find it. Therefore, the computerized filing system is faster in recovering files than the manual filing system. It is also advantageous in terms of speed since it can be seen and shared by others. For example, the other staff can use the system to enter any data while the other can use it to find any record using a different computer at the same time. Therefore, it does not affect other people's time to do their work. Secondly, the computerized filing system can also help the organization save space. A manual filing system requires a lot of space as it needs space to manually store a lot of data, information and records. Therefore, a computerized filing system can help the organization save space as it can virtually store documents. At the same time, it can reduce costs as there is no need for files, cabinets and boxes…half of paper…and reputation of the organization. Therefore, the organization should solve this problem by sending its staff to the seminar or workshop to learn the necessary skills. The organization should also test the computer skills of those who wish to apply for jobs at their organization. The staff must be experienced to ensure that all jobs run smoothly. In conclusion, computerized archiving is very advantageous, although it may cause some inconveniences. The computerized filing system is fast, can save space, help the organization organize its archives and improve its services. Although it has disadvantages, it can be solved. Therefore, it should be used by the organization as it can help in improving the organization itself and have many benefits. Works CitedWilson, P. I. (1994).
